Prospecting Letter Tips and Examples:


Writing Job Prospect LetterProspecting letters (also called broadcasting or introduction letters) are sent to companies or organizations you would like to work for.  They are used to inquire if there are any job openings and/or to request an interview or meeting to learn more about the company.  Send this letter following cover letter guidelines. For best results, try calling the company first before sending a letter of introduction. If you can’t get in touch with the people in charge of hiring, then mail an introduction letter. It is best to address the letter to a specific department or to the name of the person in charge of the department you are interested in working for. To find information, take a look at their website for staff names and titles or call the company and ask the receptionist. You may say something like

“Good afternoon, my name is _____. I would like to send some information to your accounting manager. May I have the manager’s name and title? Ask the person to spell those hard to spell names! Also, remember names like Terry can be Mr. or Mrs. so be sure and ask if you are not sure.

If you are not able to find out who you should address the letter to, use "Dear Hiring Manager" or Dear  _____ Manager.  For example, Dear Accounting Manager.  Using "To Whom It May Concern" or "Dear Sir or Madam" is acceptable but it is not the best way to address the letter.

In your letter

  • Tell them the type of position you are seeking
  • If someone referred you, such as another employee with the company, mention it briefly
  • State why you want to work for them
  • Outline your related skills, abilities and education
  • Ask them to please call you (include your contact information)
  • Try not to use your work phone number
  • If applicable, include a best time to reach you
  • Thank them for their consideration
  • Enclose your resume

Dear Mr. Smith:

I am seeking a position as a Web Designer with Avid West Technology Center. I recently read about your company’s expansion into Florida. My education and my five years experience working with HTML, Photoshop, Flash, and JAVA would be an asset to your company and new technology center.

I recently completed my Associate of Arts degree in Web Design from Cedar Valley Community College. I have also worked as a Web Designer for Sands Web Design Group for the past three years. Some of the websites I have designed include (insert two or three active websites).

I would like to meet with you to discuss possible job opportunities with your company. Please contact me at (561) 333-3333 after 5:30 p.m. Thank you for your time and consideration. I look forward to talking with you.
